Webspectations Ltd is a small family business that designs and prints cards, invitations and wedding stationery in the UK. This policy explains what personal information we collect when you visit webspectations.co.uk or place an order, why we collect it, who we share it with and the choices you have. We only collect what we need to run the shop and look after your order.
Who we are
Webspectations Ltd is the data controller for the personal information described in this policy. Registered in England and Wales, company number 07967711. You can contact us by email at webspectations@gmail.com, or through our contact page.
What we collect and why
- When you place an order: your name, delivery and billing address, email address and phone number, plus what you ordered and any personalisation details you send us. We use these to print and post your order, to send order and delivery updates, and to answer questions about it. The legal basis is the contract between us.
- When you contact us: your name, email address, phone number if you give it, and your message. We use these to reply and, if you ask for a quote, to prepare it. The legal basis is our legitimate interest in answering enquiries, or taking steps at your request before an order.
- If you create an account: your login details, saved addresses and order history, so you can reorder and track orders more easily.
- When you browse the site: technical information such as your IP address, browser and device, and the pages you visit. Some of this is needed to run the site securely. Analytics and advertising information is only collected if you agree to it in our cookie banner (see below).
We never see or store your full card details. Payments are taken securely by Stripe.
Who we share it with
We never sell your information. We only share it with the services we use to run the shop, and only what each one needs:
- Stripe processes card, Apple Pay and Google Pay payments. Stripe privacy policy.
- Royal Mail and other delivery services receive your name and delivery address so they can deliver your order, and may send you tracking updates.
- Our website host and email services store the site and send order emails on our behalf.
- Google reCAPTCHA checks that forms are filled in by a person rather than a bot. Google privacy policy.
- Google Analytics (only with your consent) tells us how people use the site, such as which pages are popular and how visitors find us, so we can improve it.
- Pinterest Tag (only with your consent to advertising cookies) tells Pinterest when someone who saw our Pins visits the site or places an order, so we can see which Pins are useful. Pinterest privacy policy.
- Google Customer Reviews: after you place an order you may be offered the chance to take part in a short survey run by Google. If you choose to take part, Google receives your email address, order number and expected delivery date so it can send the survey. Taking part is entirely optional. Google privacy policy.
- Jetpack (Automattic) provides basic visitor statistics and delivers images quickly. Automattic privacy policy.
Some of these companies store data outside the UK, for example in the USA. Where they do, they use legal safeguards approved for UK data, such as the UK International Data Transfer Addendum or the UK Extension to the EU to US Data Privacy Framework.
Orders placed with us on Amazon, eBay or Etsy are handled under those platforms’ own privacy policies.
Cookies
Cookies are small files saved by your browser. When you first visit, our cookie banner lets you accept all cookies, reject all non essential cookies, or choose by category. You can change your mind at any time using the cookie button in the bottom left corner of every page.
- Necessary: keep your basket, checkout and login working, remember your cookie choices and protect the site. These are always on.
- Functional: remember preferences to make the site easier to use.
- Analytics: Google Analytics, which helps us understand how the site is used. Off unless you accept.
- Advertising: the Pinterest Tag, which helps us measure our Pins. Off unless you accept.
If you reject analytics or advertising cookies, Google Analytics may still receive a basic, cookieless signal that a page was viewed, without anything that identifies you or your device over time. The Pinterest Tag does not load at all.
How long we keep it
- We keep your name and address only as long as we need them to send your order and deal with any questions, and then remove them from our website. Payment records are kept by Stripe and in our accounts for six years, as HMRC requires. We never see or store your card details at any point. Card payments, Apple Pay and Google Pay are handled entirely by Stripe.
- If you have created an account, your saved details stay until you ask us to close it. Messages and quote requests are kept only as long as we need them to reply.
- Google Analytics keeps visit data for no longer than 14 months.
Your rights
Under UK data protection law you can ask us for a copy of the information we hold about you, ask us to correct it or delete it, object to or restrict how we use it, and ask for it in a portable format. Where we rely on your consent, such as for analytics and advertising cookies, you can withdraw it at any time. To make a request, email webspectations@gmail.com and we will reply within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Keeping your information safe
The site uses a secure (https) connection, payments are handled by Stripe, and access to order information is limited to the people who need it to fulfil your order.
Changes to this policy
We will update this page if anything changes, and the date at the top shows when it was last reviewed.
